Board of Directors Descriptions Former Board members assist the new Board of Directors in becoming acclimated to their new positions. No one is left to fend for themselves, so please don’t feel you shouldn’t volunteer for nomination because you don’t know how to perform the duties of the various Board of Director positions. All eleven Board members provide a significant voice and vote at monthly Board meetings.

President

As the highest ranking member of the Board of Directors, the President assumes a leadership role in setting the direction of the club, bringing forth suggestions of general policies for the operation of the Club for approval by the Board. The President presides at all meetings of the Club and Board of Directors, proposing nominations for various club appointments such as Trip Director and Schuss News Editor for Board approval. During her/his administration, the President develops a “Presidents Book” with pertinent information regarding the operation of the Club and hands it down to the successor. The President also delegates responsibilities, utilizing other members of the Board and club members as appropriate.

First Vice President

The First Vice President is the second ranking officer in the Club. In the absence of the President, the First Vice President is in charge of Club business, exercising all duties of the President. This individual assists the President in the performance of his/her duties as needed. Responsibilities the President may delegate to this person include fall and winter meetings and activities, ski school, racing, news articles, finances and fund raising projects.

Second Vice President

The Second Vice President is the Club’s third ranking officer. This person also assists the President in the performance of her/his duties.  The Second Vice President is in charge of Club business, exercising all duties of the President in the absence of both the President and First Vice President. The President may delegate responsibilities to this person such as fall and winter meetings and activities, ski school, racing, news articles, finances and fund raising projects.

Schuss News Editor

The Schuss News Editors responsibilities is to publish the monthly newsletter.  It is their duty along with the boards

input on what is to be included in the monthly newsletter.  The newsletter is generally published before our 1st meeting in September monthly through our spring banquet in April.  Upon request of the activities director a newsletter might be published with summer activities.  It is also their duty to deliver the newsletter to the printer for printing upon which the board member who has the duty of mailing will pick the newsletter up and fold and mail.

Description of Board Positions

The first thing to keep in mind is that former Board members help the new members become acclimated to their new positions. No one is left to fend for themselves so please don’t feel you shouldn’t volunteer because you don’t know what to expect.

 Directors-At-Large

The four (2 men, 2 women) Directors-At-Large play a very important role on the Board as they serve in any capacity or, more importantly, volunteer to perform various duties. Some examples of past voluntary responsibilities are: Schuss News Editor, Assistant to Editor, Pursuer of News Articles, Article Reminder Person, Club Photographer, Spring Banquet Coordinator, Club Promotional Items Store Manager, New Member Welcoming Committee, Mail Person, Special Events Volunteer (Cold Duck Race, Silent Auction). In other words, they are a true blessing to the club and assist in making things run smoothly. Don’t get overwhelmed, they are not expected to do all of these things. These are merely examples of duties former  Directors-at-Large have performed for the club. These four directors also vote and provide a valued voice at monthly Board meetings.

Membership Director

Basically, the Membership Director attends all fall meetings in order to provide attendees with information to sign up as new or renewing members.  This director sends out an invoice and reminder letter to all members and provides members with a current Club roster and membership card. It is important to have a computer with updated software which includes Windows XP and the latest Access software to be used to load and maintain our membership database. This information is then used for monthly mailings.

Treasurer (aka Keeper of the Books)

What would we do without the main money person? The Treasurer has the responsibility of monitoring the financial accounts of the Club, overseeing the financial activities of various individuals responsible for Club funds, collecting lift fees, oversees the collecting of dues and revenue, and pays the bills. This director gives a report of our financial status at each Board meeting and an annual report at the election meeting. A computer is helpful for ease of creating a balance sheet, but is not required. This position comes with a nice perk. The Treasurer is provided a free left ticket, courtesy of the Club, for selling lift tickets to Club members on scheduled Thursday night ski meetings.

Activities Director

To an activity driven club such as ours, the Activities Director is an integral position on the Board of Directors. This person acts as the liaison between our club, the bus company and the various ski resorts to procure the best ski offerings at the best prices. Once the trips and projected costs are approved, this director coordinates and carries out the ski trip outings and non skiing social activities throughout the year. This includes food and beverages, obtaining and handing out lift tickets and making sure all participants are accounted for. With assistance from other Board members, this director preps and sets up the buffet for the Party on the Hill. The Activities Director maintains the activities checking account, providing an annual financial accounting to the Board. Our current Activities Director utilizes his/her personal laptop for ease of record keeping, but a laptop is not required for this position.  When in charge of a bus trip, the Activities Director receives complimentary bus fare and a lift ticket in appreciation of the efforts put forth.

Secretary

In addition to providing notice of meetings to Board members, the Secretary keeps detailed minutes of each Board meeting and sends a copy to all current Board members, Schuss News Editor, Ski School Director and immediate past President.  An article is written (Splinters from the Board) for the Schuss News, providing a brief synopsis of the Board meeting. This director takes minutes at the annual meeting and election for publication in the following Schuss News. The Secretary compiles and maintains a secretary’s notebook that includes all Board meeting minutes, a copy of all club mailings and a list of current members.

Western Trip Director

The Western Trip Director is not an elected position, but rather one that is nominated by the President and approved by the Board of Directors.  This is a non-voting director. At the beginning of the election year, this director requests bids from travel and tour companies for 2-3 potential destinations. The bid information and recommendation is shared with the Board for the final vote and approval. The Trip Director arranges the “add-ons” including bus to/from the airport and local transportation, pre- and post- trip parties, special dinner out west, etc. in order to accurately work up the final price for the members. The responsibility then shifts to creating the members payment schedule, collecting money, making timely payments to the appropriate companies, balancing the checkbook, and creating the rooming list.  Once the trip in underway, this person dons the Social Director hat, ensuring everyone is accounted for and aware of the itinerary, travel restrictions, tickets, welcome parties, etc. At trip’s end, the Director reconciles any residual business with the companies and conducts the picture party. In appreciation for performing these duties, the Western Trip Director receives a 50% discount on the trip he/she leads.
